How I Organize My Chats in ChatGPT: A Simple Way to Work Faster
Here’s what happens most of the time: you open ChatGPT, stare at the list of ongoing chats, and think, "What was I even doing here again?"
Yep, we’ve all been there. When you’ve got multiple ideas, offers, clients, and content pieces flying around, ChatGPT chats can get out of hand real quick.

Because when your chats are organized, you feel more in control, less overwhelmed, and more like the CEO of your business.
Let’s break down how I keep my ChatGPT space tidy, strategic, and working for me, using a feature called Projects (plus a few simple habits).
Why organizing your ChatGPT chats is important
If you’re a service provider, online educator, or digital product creator using ChatGPT in your business, you’ve probably noticed that…
The more you use it, the more cluttered your chat history gets.
And while it might feel easier to just keep starting new chats… that chaos adds up fast.
You waste time searching, repeat prompts you already wrote, or worse, miss out on really good ideas because they’re buried in an old thread.
Good news? Organizing your ChatGPT chats is actually simple and doesn't require starting over.
In fact, I’m going to show you how to make it easier by using Projects, a super helpful feature inside ChatGPT that lets you group your chats by goal, client, product, or task.
Let me show you how I do it, and how you can, too.
What Are Projects in ChatGPT (and why I use them daily)
Projects in ChatGPT are like digital folders, but smarter.
They let you group your chats based on a specific focus, like content creation, launching a product, or working with a client.
Here’s why I love them:
Everything’s in one place. You can pull in existing chats and start new ones, all under one project.
You can upload files and write custom instructions to train that Project on your goals, tone, and context.
It remembers everything in that project, including past chats and files, so you don’t have to keep repeating yourself.
For example, I have Projects for:
Instagram content
Each digital product I’m working on (like The Toolkit or Client Deep Dive)
General business stuff (like planning, brainstorming, etc.)
When I start a new chat inside the “Instagram Content” project, ChatGPT already knows the vibe, the startegy, and has access to all my previous content and files. That’s huge.
How I organize my ChatGPT Chats for my business
I used to keep everything in separate chats, one for posts, one for captions, etc.
But ChatGPT has gotten so much better that it’s not really necessary anymore.
Now? I mostly keep all related content in one Project.
For example, I’ll have one ongoing Project for Instagram content, one for things I'm doing in my ChatGPT Solopreneur Club, and so on.
But here’s the key: I create Projects for each main area of my business. This way, I can organize everything without losing the learning ChatGPT has already done.
Let’s say I’m creating promo content for The Toolkit, I’ll open up the Toolkit project, and work in it. It has all my past chats, content ideas, tone, and files uploaded, so I don’t need to start from scratch. It’s like having a ChatGPT that’s fully trained on that part of my business.
How to Set Up a Project in ChatGPT (Step-by-Step)
Setting up Projects is super easy, and once you try it, you won’t go back:
1️⃣ Click “+ New Project” in the left-hand menu under Projects. Name it something specific like:
"Instagram Content Planner"
"Launch Plan: The Club"
"Client Strategy: [Client Name]"
2️⃣ Write Custom Instructions for that project. Tell ChatGPT how to help you. For example:
“You’re my assistant for [your offer name]. Help me write content, organize resources, and plan growth strategies.”
Adding files and instructions to ChatGPT Projects
3️⃣ Upload Relevant Files: Branding docs, product outlines, old post examples, whatever helps ChatGPT understand what you’re working on.
4️⃣ Move Old Chats Into the Project: You don’t have to lose what you’ve already worked on. Just pull existing chats into the new Project and keep going. It still remembers what you’ve trained it on.
The one downside? Projects don’t support using custom GPTs yet.
BUT… I found a workaround:
If you start a chat with a custom GPT outside of a project and then move it into the project, it kind of works!
ChatGPT won’t fully recognize the custom GPT’s instructions, but it will use what’s been said in that chat thread.
And if you’re an iPhone user? There’s also a trick: If you long-press a chat with a custom GPT, you can add it to a project directly! (I’m not sure if this works on Android app)
Update: You Can Now Use Custom GPTs Inside Projects (Finally!)
Good news! ChatGPT now supports using custom GPTs directly inside Projects.
That means you no longer need to use any workarounds. Just open your Project, start a new chat, and choose any custom GPT from your library. It works seamlessly.
Project Ideas to Get You Started
Here are a few ways you could start organizing your own ChatGPT space:
Weekly Content Planning: Group all your social content here and upload your branding guide and past captions.
Product Creation: Have one for each product or offer you’re working on. Add your outlines, customer research, and draft content.
Client Work: Create a separate Project for each client and add brand voice prompts, notes, and related files.
General Business Admin: Brainstorms, to-do lists, or biz ideas that don’t fit neatly anywhere else.
A simple way to get more out of ChatGPT
If the way you currently use ChatGPT feels a little chaotic, you’re not alone. But a little organization can go a long way.
